WHO YOU ARE
You are an organized, detail-oriented Talent Coordinator with hands-on experience in full-cycle recruiting coordination, payroll administration, and talent onboarding/offboarding. You spot gaps, build solutions, and raise the bar on every process you touch. KEY RESPONSIBILITIES
Own the full recruiting coordination experience within Mutiny's ATS system, including:
Proactive candidate communication that keeps every applicant informed and engaged throughout the process
Interview scheduling and logistics across multiple stakeholders and time zones
Administering assessments and collecting structured hiring manager feedback
Maintaining clean, accurate candidate records and pipeline data at all times
Lead seamless onboarding and offboarding in our PEO and ATS systems, ensuring every new hire has a first-day experience that sets them up for success
Manage end-to-end freelance payroll in close partnership with HR and Finance, including:
Collecting and reviewing freelancer timesheets on a weekly and bi-weekly basis
Auditing hours against project assignments and flagging discrepancies before payroll runs
Enter hours into payroll accurately and on time, every cycle
Maintaining up-to-date freelancer records including rates, payment terms, and contract status
Serving as the primary point of contact for freelancer pay questions and resolving issues quickly
Coordinating with Finance to ensure invoices, POs, and payments are aligned and reconciled
Proactively flagging budget overages or unexpected hours to HR and Operations
Building and maintaining tracking systems that give real-time visibility into freelance spend and hours across the agency
Partner with IT to manage all hardware and software provisioning for new hires before day one
Ensure every Mutiny employee and contractor has the tools, access, and resources they need to hit the ground running
Identify opportunities to improve recruiting and HR workflows and bring forward concrete recommendations, not just problems
Support broader agency operations as needed, rolling up your sleeves wherever the team needs you
REQUIRED QUALIFICATIONS
2+ years of relevant work experience in a fast-paced, agency environment
Strong, practical understanding of the full recruiting lifecycle, from job posting and sourcing coordination through offer and close, as well as HR coordination best practices
A natural self-starter: you manage your own workload, anticipate what's coming next, and take initiative without waiting for direction
Proven ability to juggle multiple open roles and HR processes simultaneously under tight deadlines, without letting details slip
You navigate ambiguity confidently, when the path isn't clear, you assess the situation, propose a solution, and move
Excellent communicator, both written and verbal, with a knack for making candidates and employees feel valued at every touchpoint
Strong relationship management skills and the ability to build trust quickly with stakeholders across all levels, including senior agency leadership
A genuine passion for improving processes, you treat every inefficiency as an opportunity, not an obstacle
